New exciting opportunity to join us at The Limes!

This 12 month paid internship, is a newly created role that is funded by the Jack Petchey Foundation Internship Programme. This programme aims to give young people aged 18 - 25 years a flying start in the charity sector.  As well as supporting and being supported by the Limes, you will receive direct support from the Foundation through a series of events and be able to apply for your own training fund to support your professional development (with our help!).

Finance & Facilities Officer

Purpose

This post is part of the Jack Petchey Foundation Internship programme.

This post supports the operational work of The Limes.

You will work closely with managers and other colleagues to ensure The Limes is dynamic and responsive in its delivery of services to the public through the efficient operation of the Centre, by providing support to the finance, administrative, facilities and reception teams.

The role is broad reaching and will appeal to those looking to expand their knowledge in all areas of running a small charity.

 Additional Support from the Jack Petchey Foundation Internship programme

This role is provided with additional support events for the Jack Petchey Foundation which you will be required. They include, but are not limited to:

26-27 September 2019 Launch Conference including overnight stay in Chingford

February-March 2020 one-day Review Conference

Additionally, you will be supported to apply directly to the Jack Petchey Foundation for training funds to support your professional development 

Role

We are looking for someone with a natural curiosity and a willingness to learn, in order to support all areas of our small charity’s unique work. You will have great attention to detail but bring with you the energy and a fresh pair of eyes to offer a different perspective. You will have a genuine desire to champion the rights & voice of the disabled children and young people we work with. You will be happy to roll up your sleeves and carry out hands on tasks and you will value the variety of your work.

The role will support the Head of Finance & Facilities and the Chief Executive with a broad remit of administrative tasks. Many tasks may be one off ‘start & finish’ items, others may be regular and on-going. The sort of things you may be asked to do (with appropriate training, if required) include:

To support the day to day financial tasks such as cashing up, banking, preparing simple spreadsheets

To support the Chief Executive with fundraising tasks such as research, uploading reports, preparing requested data 

To support facilities tasks such as booking contractors, carrying out minor repairs, completing of risk assessments, monitoring maintenance contracts, IT tasks

To support the Head of Finance & Facilities to ensure The Limes complies with all Employment and Health & Safety legislation and maintaining HR policies

To cover reception as required, once training in this function has been completed 

To research and support on the Policy Review Process

To support the Governance function with administrative tasks that may be required by the Trustees

Generic Responsibilities/Tasks

To attend all relevant internal and external meetings

To communicate effectively both within The Limes and external agencies

To participate in regular supervision and undertake personal and professional development

To comply with the organisations policies and procedures including Equal Opportunities, Safeguarding children and young adults and GDPR

To understand and uphold our Safeguarding procedures at all times

Financial tasks

Daily cashing up, weekly banking preparations

Collate and present budget data relating to different projects

Data entry on the accounting software

Support the Head of Finance & Facilities in the preparation & completion of returns to the Charity Commission, HMRC, Companies House and other regulatory bodies to ensure that The Limes meets its statutory and regulatory requirements

Building management – To support the head of Finance & Facilities to:

Ensure the upkeep of the premises, liaising with contractors and suppliers and reviewing and updating maintenance contracts and scheduled

Oversee and ensure the effective maintenance of all IT equipment including printers and computers, telephones, faxes and photocopiers

Liaise with contractors where necessary and to review and update maintenance contracts

Ensure facilities, reception office supplies, health & safety are managed effectively

Manage the housekeeping of the office including cleaning staff/services

Manage the maintenance of office furniture and equipment, replacing items as necessary within agreed budgets

Ensure adherence to health & Safety policy and procedures

Other duties as required to support our IT requirements including procuring new equipment

HR Function

To provide support for any review of staff policies

To support the administrative processes of recruitment, selection and induction of staff and volunteers

To support the maintenance of personnel files, including records of leave, staff expenses, supervision and training etc

To work closely with the Data Controller and ensure that The Limes complies with GDPR legislation

Support Services

To be an active member of The Limes administrative tem

To undertake all tasks in accordance with the company’s Diversity and Equality Policy

To undertake other activities from time to time and may be reasonably required by the CEO
